Who this covers

This site provides screening tools, information pages and appointment booking for participating dental practices. Each practice is responsible for the care it provides and for its own patient records. The site itself is operated on their behalf by Sidekick Digital.

This policy explains what happens to information you enter on this site. It does not replace the privacy notice of the practice you are contacting, which covers the records they hold about your child.

What we collect, and what happens to it

It differs by form, and in every case it is the minimum needed to answer you.

• Airway screening quiz: your answers, your child’s age, your score and your result tier are used only to email you your result, and are never saved. Your name and email are kept only so we can send that result and a few general educational emails about children’s airway health, and are not shared with the practice.
• Webinar registration: your name, email and phone are used to send you the webinar link. Your name and email are kept only so we can send a few general educational emails about the topic, and are not shared with the practice. No health questions are asked on this form.
• Appointment booking: the details you enter, including your child’s name, date of birth and any insurance information, are sent to the practice’s own patient software, where your child’s chart and appointment live. This site keeps no copy of them.
• For every form we keep an anonymous count of submissions, recording the date, the location and which advertisement or search brought the visit. These counts contain no name, email, phone number or any other detail that identifies a person.

Who we share it with

• The dental practice you are contacting. For bookings this happens by creating the appointment directly in their patient software, and by an email to their team.
• Our email delivery provider, which sends the message to you on our behalf.
• Nobody else. We do not sell your information, we do not rent or trade it, and we do not share it with advertising platforms.

What we do not do

• We do not use anything you enter for advertising, audience building or retargeting.
• We do not run advertising or analytics tracking scripts on the pages that ask you for information.
• We do not attempt to identify you across other websites.

Information about children

These forms are written for a parent or guardian to complete about their child. They are not directed at children and we do not knowingly collect information submitted by a child.

Because the quiz and the booking form are completed by an adult on a child’s behalf, we treat that adult as the person entitled to the information and to any request about it.

How long we keep it

Appointment bookings are not retained on this site, so there is nothing to delete afterwards. For the quiz and the webinar registration, we keep your name and email only for the few weeks the follow-up emails run, or until you unsubscribe, whichever comes first; the quiz’s answers, score and child’s age are never saved even briefly. The anonymous counts described above are kept for reporting and cannot be traced to a person.

Anything the practice holds, including your child’s chart and appointment, is kept by them under their own retention rules. Requests about those records should go to the practice.

Security

Information is sent over an encrypted connection. Access to the administrative side of the platform is restricted to authorised staff, and credentials for connected systems are stored encrypted.

Your choices

• You can ask us what information we hold. For the forms above the answer is generally that we hold none, and we will say so.
• You can ask the practice for a copy of, or a correction to, the records they hold about your child.
• You can unsubscribe from any email we send using the link in that email.

Changes to this policy

If what we collect or keep changes, this page changes with it, and the date below is updated. Material changes will be described here rather than made quietly.
